Use the Display Outside the Room

The small screen beside each meeting room door shows what is booked, and lets you reserve, extend or release the room on the spot.

Green means the room is free now. Red means it is in use.

Grab a few room

If the bar is green, you can take the room straight away.

  1. Tap Reserve.
  2. Choose how long you need it.
  3. Tap Reserve to confirm.
  4. Go in and tap Join on the console inside to start the meeting.

A Teams meeting is created automatically, so you get chat, notes and shared files afterwards just as you would for a scheduled meeting.

Need longer?

If the room is free after your booking ends, you can extend.

  1. Tap Manage.
  2. Tap Extend room reservation.
  3. Choose a new time and tap Reserve.

Finished early? Release the room

Tap Manage > Check out > Check out.

Please do this. A room held by a meeting that finished twenty minutes ago is the main reason colleagues walk the building looking for somewhere to talk. It takes three taps and it frees the room immediately.

If the panel is blank or not responding

The screen wakes when it senses movement — wave a hand in front of it first.

If it stays blank or will not accept taps, tell us and say which room. You can still use the room in the meantime: join the meeting from your laptop and share to the screen with the dongle.
