Approved Password Management Solutions

A password manager is a secure place to store and manage your passwords.

Instead of writing passwords down, saving them in documents, or trying to remember them, you store them in one protected location and access them when needed.

At Kingborough Council, we use 1Password as our approved password management solution.

Important Note: 1Password is the only approved tool for storing Council passwords.

It allows you to:

  • Store passwords securely in an encrypted vault
  • Access them from your computer, browser, or mobile device
  • Share passwords safely with your team
  • Generate strong passwords automatically

When you must use 1Password

You can use 1Password for your own personal passwords if you choose.

If you prefer to use another tool for personal use, that's your choice, however:

  • Council passwords must not be stored in personal tools
  • Council passwords must only be stored in 1Password

Tools that are not approved

The following are not approved for storing Council passwords:

  • Spreadsheets
  • Documents
  • Email or chat messages
  • Web browsers with the inbuilt password store enabled (Chrome, Edge, Safari)
  • Other password management solutions (KeePass, LastPass, Bitwarden, Keeper, etc.)

Storing Council passwords in these tools creates risk and may lead to unauthorised access.


Why this matters

Using a single approved tool helps:

  • Keep passwords secure and protected
  • Reduce the risk of passwords being shared incorrectly
  • Ensure access can be managed when staff change roles or leave
  • Improve visibility and control over critical systems
