Using AI at Kingborough Council

What is Generative AI?

Generative AI is a type of smart technology that can help create things like emails, pictures, documents, videos, or summaries by simply typing in a request. It learns from lots of examples, so it can write or create content in a way that sounds and looks like a human did it.

What can it do?

Some examples of how generative AI can be used include:

  • Writing emails, summaries, or reports
  • Creating or editing images
  • Generating videos or animations
  • Producing music, sound effects, or voiceovers
  • Helping write or fix computer code
  • Designing posters or visual layouts

Council’s Approved AI Tool: Microsoft 365 Copilot

At Kingborough Council, we use Microsoft 365 Copilot, which is already included in your Microsoft account at work. It’s a secure and approved tool that helps you work smarter and faster—like drafting emails, summarising documents, or rewording text.

Why do we use Microsoft Copilot (and not ChatGPT)?

  • It's secure: All your work stays within the Council’s Microsoft system.
  • It's private: Your data is stored safely and follows Australian privacy laws.
  • It's approved: Microsoft meets strict government security standards.
  • It’s controlled: Only authorised Council staff can use it, and everything is logged.

Important Reminder

Please don’t use tools like ChatGPT for Council work. These platforms send your information to outside servers, and we can’t control how your data is stored or used.

Stick with Copilot—it’s the safe and supported option. If you’re not using it yet, don’t stress! The upcoming Digital Transformation program will include training, policies, and support to help everyone feel confident using these tools.
