Monthly Data Reporting - How to extract data (Administrators Only)

Overview


From your home screen, find either the tile (if it’s set on your home screen), or search under ‘Enterprise Search’ bar for ‘Business Process Automation.  This will open the area with tabs at the top called Definitions, Items and Tasks.  Click on Tasks.

Using the drop down menu to create a criteria builder, insert the following information:

·        Date Created – is between – enter your appropriate date range

·        Assigned Pool Name – is equal to – enter your appropriate pool.

Your search criteria should now look like this:

Click ‘OK’.

Then proceed to click the search magnifying glass to carry out the search.

The data showing may be only including current tasks, not all tasks.  To ensure you are seeing all data, click on the filter and ensure all ticks are off.  This will ensure all data is captured.  Alternatively, if we are asked to produce information showing only completed tasks, or only outstanding tasks, this filter option is a great way to show just those results.

For all results your filter should look like this:

Once you can see all your data, there are several options for extracting this data.  These can be found by selecting the print button on the right hand side of the screen.  It will give options to extract as an Excel document or a PDF.  Select the appropriate one and then you can send the information through to the appropriate manager as requested.


Currently, Customer Service are happy with a Screen Shot of totals (do not need a full break down of who did what) sent in an email to Kelly O’Dwyer.  Engineering have a spreadsheet held under ‘S:\Corporate Services\Records Management\Keep\Task List Data – Monthly Reporting’.  This can be added to each month and forwarded to Anthony Verdouw.
