Share a File using OneDrive
OneDrive makes it easy to securely share files with Kingborough Council staff or with people outside the organisation (like contractors or external collaborators).
Share with Copy Link
Choose this option to share items with lots of people you might not even know personally. For example, you can use these links to share in an email or message. Anyone who gets the link can view or edit the item, depending on the permission you set.
- Go to https://m365.cloud.microsoft/onedrive and sign in with your Kingborough Council login.
- Pick the file or folder you want to share by hovering your mouse over it, and click the Share button.

- Select Copy Link to copy the link. Paste the link and send the link where you want to send it, like an email, message, or post.
To change the link and permission settings, click the Settings icon (the cog next to Copy Link) and follow the remaining steps outlined below.

Anyone
- Allows anyone with the link to access the file, even if the link is forwarded.
- This includes people outside of Kingborough Council.
- Use this option if the file is not sensitive and you want to make it widely available (internally and externally).
People in Kingborough Council with the link
- Gives access to any staff member at Kingborough Council who receives the link.
- If they forward it to another staff member, that person can access it too.
- Best for internal sharing with a wider group of staff.
People with existing access
- This option doesn’t change any permissions.
- It’s just a way to send a link to someone who already has access.
- Handy if you want to quickly resend or re-share the file link without changing anything.
Specific people
- Only the specific people you choose will be able to access the file.
- You can include internal staff or external contacts (like contractors or community members).
- Even if the link is forwarded, only the people you’ve invited will be able to open it.
- This is the recommended option for sensitive or confidential files.
Under More Settings, you can set any of the following permission options:
Can edit
- Make any changes
Can review
- Can only suggest changes
Can view
- Can't make changes
Can't download
- Can view, but not download
Once you have set all your link settings and permissions, select Apply.
- Select Copy Link to copy the link. Paste the link and send the link where you want to send it, like an email, message, or post.
Share with Specific People
Choose this option if you want to send an email invitation to people or groups and keep track of who you invited. This also lets you remove permission for specific individuals or groups later if you need to.

Once you have set all your link settings, select Apply.
In the Add a name, group or email field, start typing the email addresses or contact names of people you want to share with. When you begin to enter info in the box, you can choose a contact from the list that appears.
